Since TCS negotiated a hotel room rate of $95, unbelievably low for the St. Petersburg/Tampa Bay beaches, the Federal per diem hotel rate for the area dropped to $84. Those of you who are traveling under the Federal guidelines should take appropriate action to ensure that your travel is approved through your agency or department. Approval to stay at the conference hotel may be approved because it would save time during rush hour traffic on the single main road, and save the cost of a rental car or taxi to get to the hotel. The difference in rate of $11 for a three night stay would add $33 to the total cost of the trip, which might be considered reasonable in comparison. A sample memo to request authorization to exceed the per diem rate is here. If given approval, you might simply add a one-line sentence on your travel paperwork that says something like "Hotel reimbursement approved at higher than standard per diem rates."
